Some organisations, such as bookstores, receive ONIX or CSV data files from TitlePage over SFTP (SSH File Transfer Protocol). Moving from the legacy connection
If you currently collect your files using a legacy password and the existing FTP address, that access will continue to work during the transition period. The files you receive from TitlePage are unaffected, and there is no immediate cut-off.
We still encourage you to set up SFTP access as part of the platform launch. SSH key authentication is the preferred method. Your connection details, including the host to use for your chosen method, are shown in the Security Centre, and the step-by-step guides are linked below.
Who this is for
This article is for organisations that receive ONIX or CSV files from TitlePage, such as bookstores, and for service providers who collect these files on their behalf. Publishers and distributors who deliver ONIX files to TitlePage should follow the providing-data guide instead.
The two authentication methods
SFTP always uses the SSH protocol to secure the connection. What differs between the two methods is how your system proves who it is when it connects. The same two methods apply whether you deliver or receive files.
- SSH key authentication uses a key pair instead of a reusable password. It is TitlePage's preferred method and is supported by most modern SFTP clients and publishing systems.
- Password authentication uses a password you set yourself in the Security Centre. You can use it at any time without asking APA.
Which method to use
Use SSH key authentication if your SFTP client or publishing system supports it. It is the more secure of the two and is what we recommend. If it does not suit your system, you can use password authentication instead.
Folders and access
A folder is the secure SFTP location assigned to one organisation, where the files you receive from TitlePage are made available. Each organisation you are authorised to work with appears as a separate folder and SFTP account row.
Receiving data via SFTP requires the Data Service Manager role. This is a high privilege role, so your account must have multi-factor authentication (MFA) set up.
If you cannot see View SFTP accounts in Security Centre, you do not have the role, or you do not have MFA set up. A Company Admin for the relevant organisation can assign the role, following the APA Company Admin account guide. Role changes are processed by the TitlePage team, typically within three business days.
Each Data Service Manager for an organisation has their own SFTP account and their own key or password, and all of them connect to the same folder. Your credentials are yours alone.
